Exactix User Roles
Entry Level
The Entry Level role is the default access level assigned to users upon initial registration in the Exactix system. This role is designed to support basic ticket management activities and provide limited but essential functionality for day-to-day operations.
Users in this role are provided access to optional training materials and a user manual; however, completion of training is not required to operate under this role.
Capabilities include:
- Creating simple excavation tickets
- Extending existing tickets as needed
- Requesting re-marks of existing tickets
- Closing out tickets once work has been completed
- Submitting damage reports when necessary
Key Notes / System Behavior:
- Tickets submitted under this role may not generate a ticket number immediately, as they are subject to review prior to final processing.
- This role is intended for basic system usage and does not include advanced project management or administrative permissions.
Excavator – Basic
Access Excavator – Basic Training Course
The Excavator Basic role is an operational user level designed for excavators who have completed the required Entry Level/Basic training. This role builds on Entry Level permissions while ensuring faster processing of excavation-related activity.
Requirement:
- Completion of Entry Level / Basic training is required prior to assignment of this role.
Capabilities include:
- Creating simple excavation tickets
- Extending existing tickets
- Requesting re-marks of existing tickets
- Closing out tickets when work is complete
- Submitting damage reports
Key Difference from Entry Level:
- Tickets are released immediately upon submission and are not held for review, allowing for faster access and processing.
All other permissions remain the same as Entry Level.
Excavator Role
Access Excavator Role Training Course (user agreement as at the end of the course)
The Excavator role is an advanced operational user level designed for experienced excavators who have completed required training and agreed to the user terms and conditions. This role expands functionality beyond basic ticket creation and introduces support for more complex excavation workflows.
Requirements:
- Completion of required Excavator training
- Signed user agreement acknowledging system responsibilities and usage terms
Capabilities include:
- Creating simple and complex excavation tickets
- Creating multi-location (multi) tickets
- Performing all secondary ticket actions, except adding a service area
- Extending, re-marking, and closing tickets as work is completed
- Submitting damage reports
- Manual mapping of excavation areas within the system
Included Permissions:
- All permissions granted in Entry Level and Excavator Basic roles
Key Notes / Limitations:
- Users in this role are trusted with higher complexity ticket entry and must accurately define and map excavation areas manually when required
- Adding service areas is not permitted in this role and remains restricted to higher-level administrative functions
Large Project Role
Access Large Project Role Training Course
The Large Project role is an optional add-on permission designed for users who already hold either the Excavator Basic or Excavator role. This role enables access to Large Project functionality within Exactix for managing complex, multi-phase excavation projects.
Requirements:
- Must already be assigned either:
- Excavator Basic role, or
- Excavator role
- Completion of Large Project training is required
Capabilities include:
- Creating and managing Large Projects within Exactix
- Structuring and organizing multi-phase project work
- Coordinating project-level information and updates within Large Projects
Key Notes / Important Rules:
- This role does not modify or expand ticket-level permissions
- Ticket permissions remain exactly the same as the user’s base role (Basic or Excavator)
- Users must maintain their underlying Excavator Basic or Excavator role to access and use Large Project functionality
- Large Project access is dependent on, and layered on top of, existing excavator permissions rather than replacing them
